Monthly Bookkeeping Checklist for Indian MSMEs: Step-by-Step Guide

A structured monthly bookkeeping routine prevents tax panic, eliminates unrecorded expenses, and ensures your books match your bank statements.

For small and medium enterprises across India, accounting is too often treated as a rushed year-end ritual rather than an essential monthly pulse. Postponing bookkeeping until tax filing deadlines inevitably results in lost Input Tax Credits (ITC), uncollected debtor dues, and skewed management visibility.
Phase 1: Voucher Organization & Invoicing Serial Discipline
A disciplined monthly close begins with systematic sorting of all primary transaction records;
  • • Outward Sales Invoices: Confirm continuous serial numbering in Tally Prime, Zoho Books, or Busy Accounting. Verify all cancelled invoices are recorded with debit notes.
  • • Inward Purchase Vouchers: Capture original tax invoices from all vendors. Ensure supplier GSTINs, state codes, and HSN/SAC codes are accurately entered.
Phase 2: Comprehensive Bank & Cash Reconciliations
Download official bank statements (PDF/Excel) for all operational current accounts and CC/OD credit facilities;
  • • Match every withdrawal against verified vendor payments and every credit against authentic customer receipts.
  • • Reconcile bank interest debits, payment gateway processing fees, and forex conversion charges directly with RBI-compliant bank charges.
  • • Zero-out suspense balances: Never carry forward unidentified bank transactions into the next accounting period.
Phase 3: Statutory 45-Day MSME Payment Tracking (Section 43B(h))
Under the amended provisions of the Income Tax Act read with the MSMED Act, 2006, payments to registered micro and small enterprises must be settled within the agreed timeline (maximum 45 days where agreement exists, or 15 days in the absence of written agreement). Failure to pay on time results in statutory disallowance of the entire deduction from business profits until actual payment.
Phase 4: Statutory Return Synchronization
Cross-verify your monthly trial balance against statutory deadlines;
  • • GST Returns: Reconcile monthly books with GSTR-1 outward turnover and GSTR-3B tax payment.
  • • TDS Challans: Verify all payments subject to TDS (contractors under 194C, rent under 194I, professional fees under 194J) are deposited via Challan ITNS 281 on incometax.gov.in by the 7th of the following month.

Key Operational Takeaways for Business Owners

  • ✓ Close books within the first 7 days of each month for the prior period.
  • ✓ Reconcile every bank entry without leaving unallocated suspense debits.
  • ✓ Track 45-day MSME supplier payment deadlines to avoid Section 43B(h) tax disallowance.
  • ✓ Verify turnover consistency between accounting software and GST portal records.
